1. Introduction

Welcome to Linen Lab ("we", "our", or "us"). These Terms of Service govern your access to and use of the Linen Lab website and services. Please read them carefully.

By accessing or using Linen Lab, you agree to be bound by these terms. If you do not agree to these terms, you may not use our services. These terms are effective as of [EFFECTIVE_DATE].

2. Service Description

Linen Lab is a wedding linen rental service providing couples with curated, high-quality table linens, napkins, and textile accessories for their wedding day. Our services include:

  • Rental of table linens, napkins, and textile accessories for wedding events
  • Colour matching assistance to complement your wedding theme and palette
  • Delivery coordination to your event venue

All items provided through Linen Lab are rentals, not purchases. Title to all items remains with Linen Lab at all times. You are responsible for the care and return of all rented items in accordance with these terms.

All items are rental inventory and may have been used at previous events. We inspect, clean, and press items before fulfillment. Slight variations in texture, finish, dye lot, or ordinary wear consistent with professionally maintained rental products may occur.

3. Account Registration

You may register for a Linen Lab account using your email address and a password, or via a passwordless magic link sent to your email. If you proceed as a guest at checkout, a silent account is automatically created to support order management and communication.

By creating an account, you agree to:

  • Provide accurate, current, and complete information during registration
  • Maintain and promptly update your account information
  • Keep your account credentials secure and not share them with any third party
  • Accept responsibility for all activity that occurs under your account
  • Notify us immediately of any unauthorised use of your account

4. Ordering Process

Placing a rental order with Linen Lab follows a guided multi-step process:

  • Event details — provide your wedding date, venue, and event information
  • Sub-event setup — configure individual sub-events (e.g. ceremony, reception) with separate linen requirements
  • Table configuration — specify table counts, sizes, and layouts for each sub-event
  • Product selection and colour matching — choose linens and receive colour-matched recommendations for your palette

All orders require a minimum lead time of 14 days before the wedding date. Orders are subject to product availability at the time of booking. We will notify you if any items in your order are unavailable.

5. Pricing and Payment

All prices are listed in US dollars (USD). Payments are processed securely by Stripe. We do not store card numbers or sensitive payment data on our servers.

Damage Deposit

A damage deposit of $250 (configurable) is collected at checkout for every order. This deposit is fully refundable, subject to the items being returned in undamaged condition as described in Section 9.

Checkout Options

  • Deposit Only — pay the damage deposit now to secure your order; the rental balance is deferred and collected separately via a Stripe Payment Link before your event
  • Pay in Full — pay the damage deposit plus the full rental cost at checkout; no further payment is required before your event

Tax

Applicable sales tax is calculated automatically via Stripe Tax based on your delivery address and applicable law.

6. Order Modifications

You may modify your order while it is in Deposit Paid or Paid status via your customer dashboard. Permitted modifications include changes to linen colours and quantities.

Modifications are not available after the order lock date (see Section 8). A confirmation email is sent for every modification made to your order.

7. Cancellation Policy

Cancellations must be requested by contacting us directly — self-service cancellation is not currently available. Please see our Return and Cancellation Policy for full details.

Cancellations are only accepted for orders in Deposit Paid or Paid status. Orders that have been locked or fulfilled cannot be cancelled.

8. Lock Date Policy

Orders are automatically locked 7 days before your wedding date. This lock is applied by an automated daily job that processes all orders reaching their lock date.

  • You will receive an email notification when your order is locked
  • Once locked, no further modifications or cancellations are possible under any circumstances
  • The lock date policy exists to ensure our fulfilment team can reliably prepare and dispatch your order on time

9. Damage Deposit

A damage deposit of $250 is collected at checkout for every order. The deposit is held to cover the cost of any damage to rented items beyond normal wear and tear.

  • The deposit is fully refundable when all rented items are returned in undamaged condition

  • In Phase 1, deposit refunds are processed manually by our team via Stripe

10. Limitation of Liability

To the maximum extent permitted by applicable law:

  • Linen Lab's total liability to you for any claim arising out of or relating to these terms or our services shall not exceed the total amount you paid to us in the 12 months preceding the event giving rise to the claim
  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or goodwill, even if we have been advised of the possibility of such damages
  • We are not liable for delays in delivery or collection caused by events outside our reasonable control, including but not limited to natural disasters, severe weather, industrial action, or other force majeure events

11. Governing Law

These Terms of Service are governed by and construed in accordance with the laws of [JURISDICTION], without regard to its conflict of law provisions.
